POLYC is run by one person. There is no marketing department, no data broker, and nobody buying lists. What follows is the whole of it.
What we collect, and why
When you order a magazine. Your name, delivery address, email, and for a trade order the business name and registration number. We need these to print the invoice, ship the copy and keep the books. Dutch tax law requires us to keep invoices for seven years, so order records stay that long whatever else you ask us to delete.
When you send photographs for a custom copy. The image files and the words you chose. We keep them for 90 days after shipping, in case your copy is lost or damaged in the post, then delete them. Ask us and we delete them as soon as your copy has shipped.
When you nominate a budtender. The nominee’s name and city, the shop where they work, your reasons, and your own contact details. The shop name is how we reach the nominee. It is never published anywhere, and it is deleted after the issue goes to print. Your name as the nominator is never published either.
When you are nominated. Only what you write on the nominee release, plus the contact details you give us so we can talk to you. If you decline, we delete everything we hold about you.
When you send a photograph for the gallery, or a smoke buddy. The file, and the names on the release or the form. A gallery photograph stays up until you ask us to take it down, and then it comes down.
When you write to us, or send a classified. Your message and whatever contact details you include.
When you ask to be listed in the directory. Business name, countries, one line of description and one contact. That is published, because that is the point of a directory.
When you sign up for issue news. Your email address, and nothing else.
When you visit this site. This site is plain pages. It sets no cookies of its own and runs no trackers or analytics. Our host keeps standard server logs. The forms on this site are hosted by our form provider, and what you type into one is stored there.
What we never do
We do not sell your data. We do not rent, swap or share it for anyone else’s marketing. We do not build profiles of you. We do not use your photographs to train anything, and we do not let anybody else do so either.
We do not publish the name of a coffeeshop or other premises taken from a nomination, a letter, or a photograph caption. Not by accident and not on request.
Who else sees it
Only the companies that make the thing work, and only the part they need:
- our printers, for your name and delivery address, and for the files that go into a custom copy
- our website host and form provider, which stores what you type into a form
- the postal and courier services, for the address on the parcel
- our bank, and our bookkeeper, for invoices and payments
Some of these are outside the EU. Where that is so, transfers are covered by the standard safeguards those companies publish. We do not send your data anywhere else.
How long we keep things
Invoices and order records: seven years, because Dutch tax law says so. Custom photographs and text: 90 days after shipping. Shop names from nominations, and nominations that go nowhere: deleted after the issue goes to print. Release forms: kept as long as we publish the thing they cover, because they are the proof of consent; gallery releases are kept while the photograph is up, and deleted when it comes down. Letters, classifieds and submissions we do not use: 12 months. Newsletter addresses: until you unsubscribe.
Your rights
You can ask us to show you what we hold about you, correct it, delete it, or stop using it. You can withdraw consent at any time. You can ask for your data in a portable file. Write to editor@tingeworld.com and we will answer within one month, usually much sooner.
Two honest limits. We cannot unprint paper: once an issue is printed we can remove you from the website and from every later issue, but the printed copies exist. And we cannot delete invoices before seven years, because the tax office requires them.
If you think we have handled your data badly, tell us first, and if that does not settle it you can complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens.
Children
This site and these magazines are for adults aged 18 or over. We do not knowingly collect anything from anyone under 18. If we discover that we have, we delete it immediately and cancel whatever it was attached to.
Security
Form data and files sit with our website and printing providers, reached through accounts protected by strong, unique passwords and two-factor authentication. Photographs are downloaded, used and deleted rather than kept in a growing library. If something goes wrong that puts your data at risk, we tell you and we tell the regulator, as the law requires.
Changes
When this policy changes, the new version goes on this page with a new date at the top. If a change is significant and we hold your email address, we will tell you.
